Tasks

  1. Creating academic schedules and final exam schedules for the department's courses based on students' levels, and organizing classrooms and study periods.
  2. Preparing the schedules for each faculty member according to students' levels, the teaching load assigned to each faculty member according to their job title and specialization, in consultation with the department coordinator.
  3. Following up on the assignment of faculty members to the academic schedule in coordination with the department coordinator.
  4. Monitoring the allocation of course sections with faculty names through the electronic system.
  5. Distributing department courses offered in other programs within the college or outside the college to department faculty members in consultation with the department coordinator.
  6. Coordinating with other colleges that teach some courses for the college to agree on scheduling these courses.
  7. Coordinating with the female section on the courses that can be taught to female students by department faculty members via the network.
  8. Coordinating with the female section and the e-learning unit to provide studios for teaching via the network.
  9. Preparing and submitting teaching loads for department faculty members to the relevant authorities in the college or university.
  10. Coordinating the hiring of professors from other colleges who teach department courses and monitoring their attendance.
  11. Creating an archive file (both paper and electronic) for the academic schedules for easy reference at any time.
  12. Ensuring the preparation and receipt of theoretical exams by contacting faculty members well before the scheduled exam time.
  13. Organizing final exam units, preparing the control room, and providing enough invigilators.
  14. Updating exam forms and the rules governing them.
  15. Organizing midterm exams, alternative exams, and make-up exams for each semester.
  16. Receiving exam papers from other colleges.
  17. Providing invigilators during different exam periods.
  18. Distributing tasks among control room members (receiving, delivering, and reviewing).
  19. Conducting regular and continuous visits to exam halls and resolving any issues that may arise during exam periods.
  20. Monitoring the progress of exams.
  21. Delivering answer sheets to course instructors and verifying the number of booklets, etc.
  22. Reporting any issues that occur during exams (such as absenteeism or cheating) to the department coordinator for escalation to the department council if necessary.
  23. Preparing a report on monthly and final exams.
  24. Handling any new tasks related to the unit.
